According to a recent report from ABC television affiliate of Sioux City, Iowa, companies located in areas prone to flooding must ensure their essential records are protected and not left behind.

However, these headaches can be reduced with the help of records management services . By entrusting important documents and records to a services provider, a company is provided peace of mind in knowing its information will remain protected even in the event of a natural disaster.

"Move critical documents out of impacted area, if possible, or keep them with your readiness kit for quick evacuation," the KCAU report stated. "Another suggestion is to scan any critical business records into the computer, and save the documents on an external hard drive or other storage device and take it with you upon evacuation."

Among the business records that must be prioritized, the report highlighted tax returns, operating paperwork, licensing forms, manufacturer's statement of origin and certificates of authority, among others.

While offsite records storage will protect critical documents, the practice also addresses compliance management programs. By ensuring that business information is properly stored, companies will meet legal and industry requirements.
